In compliance with applicable data protection law, including Regulation (EU) 2016/679 (the “GDPR”), this Privacy Policy describes how Me.co.m. S.r.l. (“Mecom”, “we”, “our”) collects your personal data, how it uses them, with whom it shares them and what choices you have in this regard.

1. Scope of this Privacy Policy

This Privacy Policy applies to personal data collected by Mecom through the website www.mecomsrl.com and the services accessible therein (the “Site”), including the contact forms, the quotation request form and the page dedicated to job applications (“Careers”).

Mecom has not appointed a Data Protection Officer (DPO), as it is not subject to such obligation under Article 37 GDPR; the single point of contact for any privacy-related request is .

3. Collection of Personal Data

We collect personal data, i.e. information that identifies you or relates to you as an identifiable natural person, in the following cases.

(A) Information you provide directly

You fill in the contact form. When you write to us through the “Contact” form on the Site, we collect your identifying data (first name, last name, e-mail, company, telephone number if provided) and the content of the message you choose to send us. Such data are used to respond to your request and to manage the resulting commercial or informational relationship. The legal basis for the processing is the performance of pre-contractual measures at your request or the performance of a contract (Article 6(1)(b) GDPR), or our legitimate interest in responding to requests for information (Article 6(1)(f) GDPR).

You request a quotation. When you fill in the “Request a quotation” form, we collect your identifying and contact data (first name, last name, company, e-mail, phone) and the technical information relating to your request, including any technical drawing files in DXF format that you upload to the Site. Such files are processed exclusively for preparing the requested quotation and, save for exceptional and unforeseen cases, do not contain personal data, being limited to technical/design information about the part or component to be machined. The uploaded files are processed with the same security and confidentiality measures applied to your contact data and are not used for purposes other than the assessment and preparation of the quotation. The legal basis for the processing is the performance of pre-contractual measures at your request (Article 6(1)(b) GDPR).

You submit a job application (Careers page). When you apply for an open position at Mecom or submit an unsolicited application through the “Careers” page of the Site, we collect your identifying data (first name, last name, e-mail, phone, address) and the professional information you choose to attach or indicate (curriculum vitae, cover letter, work experience and educational background). Such data are used exclusively to assess your application against open positions or, if you give specific consent, for future employment opportunities at Mecom. The legal basis for the processing is the need to assess the possible establishment of an employment relationship, at your request (Article 6(1)(b) GDPR), or consent (Article 6(1)(a) GDPR) for retention for future opportunities.

Mecom may also use the personal data collected as described in this section to comply with its legal obligations, to protect its legal rights and for the further purposes described in the “Recipients of Your Personal Data” section, on the basis of its legitimate interest in fulfilling its contractual and legal obligations (Article 6(1)(f) GDPR).

(B) Information collected automatically

Web traffic analysis — Matomo. The Site uses Matomo, a web analytics platform provided and hosted on its own server by Quamm S.r.l., the digital agency that developed and technically manages the Site on behalf of Mecom. The tool is configured in anonymised, cookieless mode: it does not use any cookie or persistent identifier to recognise recurring visits, and users’ IP addresses are truncated/anonymised. This configuration, in line with the guidance of the Italian Data Protection Authority, makes the tool comparable, for the statistical purposes it performs, to technical cookies, as it does not entail the identification of the individual user. The information collected (pages visited, time spent, referring page, device type and browser, in aggregated form) is used exclusively to understand the use of the Site and to improve its content and usability. The legal basis for the processing, to the extent that any data attributable to an identifiable person remains, is Mecom’s legitimate interest in monitoring and improving the functioning of the Site (Article 6(1)(f) GDPR). The Site does not use profiling cookies, third-party tracking pixels (e.g. Meta, Google Ads, TikTok) or marketing automation or remarketing tools.

4. Recipients of Your Personal Data

Mecom may need to make your personal data available to internal and external parties, in the following cases:

  • With service providers. The data you enter into the contact, quotation and application forms on the Site are not stored in a database nor otherwise accessible to those who developed or technically manage the Site: completing the form generates solely an e-mail message sent directly to Mecom’s corporate mailbox, the only party that receives and processes such data. The Site is hosted on a server located in Italy; Mecom’s corporate e-mail is managed via Google’s Gmail service. In addition, Quamm S.r.l., the digital agency that developed and technically manages the Site, hosts on its own servers and processes on behalf of Mecom the anonymised browsing data collected through the web traffic analysis tool (Matomo) described in the previous section. Such parties act, within the limits of their respective activities, as data processors pursuant to Article 28 GDPR, on the basis of our legitimate interest in managing the Site efficiently (Article 6(1)(f) GDPR).
  • With Mecom internal staff. Data relating to quotation requests, commercial contacts and applications are shared internally with the relevant business functions (sales, technical/production, human resources) only to the extent necessary to handle the relevant matter.
  • With third parties. We may need to disclose your personal data to legal advisors, law enforcement or governmental/regulatory bodies in order to protect our legal rights, prevent fraud or other unlawful activities and comply with our legal obligations. The legal basis is compliance with legal obligations and our legitimate interest in protecting our rights (Article 6(1)(c) and (f) GDPR).
  • In the event of extraordinary transactions. Should Mecom undertake transactions such as a merger, acquisition, transfer of a business division or other extraordinary transactions, personal data may be shared with the parties involved in the transaction, to the extent necessary for that purpose.
  • With your consent. In cases other than those indicated above, we will request your prior consent before sharing your personal data for further purposes.

5. Your Choices Regarding Your Data and the Possible Consequences of a Refusal

As regards Matomo, since it is a tool configured in anonymised, cookieless mode that does not allow the user’s device or person to be identified, even indirectly, there is neither the technical possibility nor the legal need for an individual exclusion request: the processing, as it does not entail the identification of the individual user, is comparable to technical cookies and does not require your consent nor provide for an opt-out choice linked to your person.

6. Your Rights

In relation to your personal data, you have the following rights provided for by the GDPR:

  • Right of access. You have the right to ask Mecom for a copy of your personal data.
  • Right to rectification. You have the right to request the correction of inaccurate data or the completion of incomplete data.
  • Right to erasure. You have the right to request the deletion of your personal data in certain circumstances.
  • Right to restriction of processing. You have the right to request the restriction of the processing of your data in certain circumstances.
  • Right to object. You have the right to object, on grounds relating to your particular situation, to processing based on our legitimate interest.
  • Right to data portability. You have the right to receive the data you have provided to us in a structured, readable format or to request its transfer to third parties.
  • Right to lodge a complaint. You have the right to lodge a complaint with a supervisory authority.

7. Transfer of Personal Data Outside the European Economic Area

The Site is hosted on a server located in Italy: the hosting of the Site does not, in itself, entail any transfer of personal data outside the EEA. The server on which Quamm S.r.l. hosts and processes the data collected through Matomo is also located in Italy/the European Union.

Mecom’s corporate mailbox, to which the data entered into the Site’s forms are forwarded, is provided by Google LLC (Gmail service), a company based in the United States. Such processing may therefore involve a transfer of personal data to the United States. Google adheres to the EU-U.S. Data Privacy Framework and/or adopts the Standard Contractual Clauses approved by the European Commission as an adequate safeguard for such transfers, in accordance with Articles 44 et seq. GDPR. Further information on the safeguards adopted by Google is available on the provider’s website.

8. Data Retention

  • Contact and quotation requests: for the time necessary to handle the request and, where a commercial relationship is established, for the duration of the relationship and up to 10 years after its termination, for tax/accounting obligations and legal defence.
  • DXF technical files attached to quotations: for the time necessary for the preparation and validity of the quotation, unless otherwise agreed where the order is placed.
  • Job applications: 12 months from receipt, unless different consent is given for retention for future employment opportunities.
  • Matomo statistical data: the data, already anonymised at the collection stage, are kept in aggregated form for statistical purposes; since there are no cookies or persistent identifiers, no retention period referring to a specific user is applicable.

9. Processing Methods and Information Security

The processing of your personal data is carried out by means of electronic and manual tools, with logics strictly related to the purposes indicated above, so as to ensure the protection, confidentiality and security of the data. We have adopted appropriate technical, administrative and physical security measures, including access controls and malware protection, to protect your personal data from unauthorised access, destruction, use, modification or disclosure. However, no security measure or method of data transmission is 100% secure.

10. Amendments to this Privacy Policy

This Privacy Policy may be subject to changes. Any updates will be published on this page with an indication of the effective date. We invite you to consult this page periodically. In the event of changes that significantly affect your rights, we will inform you by e-mail or by means of a notice visible on the Site.

The Site may contain links to third-party websites (for example, corporate social media profiles). Mecom is not responsible for the privacy policies or content of such external sites; we invite you to consult their respective privacy notices before providing personal data to such third parties.
